Four jobs that eat your morning, handled before your first brew.
The whole point
Sort a mate out.

That's the goal. Two students who take the boring, fiddly, repetitive stuff off your plate, so you can get on with the work you're actually good at.

How this started

We went looking for problems. We found the same one. Again. And again.

Before SortaMate, we did freelance and project work for consultancies and small businesses. Different industries, different people, different biscuits in the meeting room.

Every single time: one boring job, done by hand, quietly eating hours every week. By the fifth business, we could finish their sentences.

"We just need someone to chase the…" Yep.

"Nobody can ever find the…" Yep.

"We keep missing calls when…" Yep.

So we built SortaMate to fix it properly.

The finish line: the burden of redundant work, off your shoulders for good.

Every system owned by you.

We implement our tailored systems into the specific daily tools you already use, test them on your real work, and hand them over with everything working smoothly and sorted. Nothing to log into, nothing to learn.

What we build is yours to keep, change and walk away with.

The real problem…

It's not that you're busy. It's why.

Busy is fine. Busy means business. The problem is the stuff underneath: the jobs that eat your day for no good reason. That's the why, and that's what we're here to sort. Let's walk through a normal day.

08:30 · In the door

Kettle on. Laptop open. Already behind.

You haven't done a single bit of actual work yet, and the day's already got its hands round your neck.

RING RING
09:10 · Trades · Garages · Removals · Clinics

Up a ladder. Phone ringing.

Why it hurts: you can't answer and there's nobody else to. Most people won't leave a voicemail. They just ring the next firm on Google, and that job's gone.

Sorted: every missed call gets a friendly text back in seconds, with your booking link. The job stays yours.

Hiring an admin assistant? Read this first.

Why it hurts: look at the job ad. "Data entry. Updating spreadsheets. Booking appointments. Chasing paperwork. Answering enquiries." That's £25k a year for a person to copy and paste, and it still lands on you when they're off.

Sorted: the copy-and-paste half of that job runs on its own, every day, holidays included. Hire for the half that needs a person, or don't need to hire at all.

10:20 · Getting paid

Things that should take one click take nine.

Why it hurts: open the job, copy the details, fill the template, save, attach, send. Then remember to chase. Then chase again. Meanwhile it's your money sitting in their account.

Sorted: mark the job done and the invoice goes out. Polite reminders follow on their own until it's paid.

Why it hurts: it's somewhere in 1,284 files, three inboxes and someone's desktop. So you click, open, close, scroll and search again, with the clock running.

Sorted: every file gets named and put in the right place the moment it arrives. Type what you need and it's there.

Chasing people for paperwork. Again.

Why it hurts: documents, signatures, forms. You ask, you wait, you forget, you remember at 11pm, you ask again. Now multiply that by every client you've got.

Sorted: requests go out on time, reminders follow up on their own, and you only hear about it once it's back.

12:15 · The "system"

Sticky notes everywhere.

Why it hurts: when your head is the system, things fall through the cracks. Not because you're bad at it. Because you're one person doing four jobs.

Sorted: nothing left to remember. Every note becomes a reminder that actually goes off, linked to the right customer.

12:30 · Nothing to remember

Sticky notes, reminders, "don't forget" texts? All gone.

Part of Sorted Workflows one of our three services

Everything built into one big database, tailored just for you. Every call, job, quote, invoice, file and reminder lands in it on its own, linked to the right customer.

  • Calls and enquiries log themselves. No retyping.
  • Invoices and chasers go out on their own.
  • One click finds any customer or file.
  • Every reminder actually goes off. No sticky notes.

13:00 · Be honest

You don't want it sorta done. You want it sorted.

CallsRang them back… eventually.
InvoicesSent it when you remembered.
PaperworkIt's in a folder. Somewhere.
New clientsWaiting for a referral.
13:15 · "Let's just hire someone"

So you look at your options.

Hiring takes months, costs a fortune, and the calls and chasing don't wait while you interview.

Option 1Pay a recruitment agency to find you an admin assistantand wait months while the work piles upFuck that.
Option 2Pay a lead-gen agency who promise the moonand send you a monthly invoice insteadFuck that too.
Option 3Get rid of the pointless jobs insteadand if you're hiring anyway, we'll cover the repetitive half for free until the role's filledSorted.
13:30 · So what does "automate" actually mean?

Now, what are these systems?

Something happens. The rest happens on its own.

An email lands, a call's missed, a job's finished. All the little steps you'd normally do by hand just happen, the same way, every time. No robots, no jargon.

For example:
⚡The triggerA client emails over their documents.in your Email
⚙Your rules kick in
  • ✓Saved to their folderDrive
  • ✓Tracker tickedSpreadsheet
  • ✓Thank-you sentEmail
✓Sorted.You didn't lift a finger.

That's automation. That's it.

You decide the rules once. After that, your business runs these jobs on its own, even: at 3amon bank holidayswhile you're on holiday

14:00 · What we actually do

Three things. Sorted properly.

It's simple. We only sell three products. Each one has a fixed scope, a set-up time and a price agreed up front. Nothing else. No vague "strategy" retainers, no mystery invoices.

Are you this, this, or this?

Pick the one that made you wince. Two of them? Mate, you need sorting. All three? You're definitely our sort of mate.

  • Studied Maths, Physics and Computer Science at A-level. Gap year now, then going to Bristol for uni
  • Amazon Web Services: worked inside pipeline-heavy processes running at enormous scale

  • Alpasana: interning at a Swiss firm that brings AI and automation into the work of public institutions and cantonal government

How we got here

  1. 01
    A shared fixation.

We've both always been the people who take things apart to see how they work, then put them back together faster. Anything we did twice, we found a way to never do by hand again. Curiosity first, then efficiency.

  2. 02
    Inside the big machines.

Sarah at Amazon Web Services and Network Rail. Cyril at Alpasana, bringing AI and automation into public institutions and cantonal government. We saw how serious organisations move data and run processes, and how hard older systems are to change once they're set.

  3. 03
    Saying yes to everything.

Back home, we freelanced for small businesses: a website here, a CRM there, an automation for a job someone hated. Useful, but scattered. Every job started from scratch, with no clear end goal.

  4. 04
    Then we saw the pattern.

Business after business, the same few jobs ate the same hours. So we stopped doing a bit of everything and turned what worked into three focused services, with fixed prices and our own in-house tools for searching, finding and sorting.

  5. 05
    Now, all in.

SortaMate isn't a side job. Finding the faster, cleaner way to do something is what we'd be doing anyway. Now we get to do it for businesses like yours, properly invested, start to finish.

"There's no right or wrong effort. Just wasted effort, and not enough of it."

Time is money, and money is time. Put both into the right things and a business grows. Spend them retyping, chasing and searching, and it stalls. When you're small, every piece is still in reach, so that's the moment to set things up properly.

01 · The craft

Refined in our craft. Defined by what we deliver.

We build it, try to break it, and rebuild it until it's right. Everything's tested on real jobs before it goes live, and it's yours to keep, explained in plain English.

02 · The detail

The smallest details, on purpose. For the biggest purpose: your time.

A reminder sent at the right minute. A file named the same way, every time. Tiny things, done properly, so you can get on with the work only you can do.

Fair questions

Ask us anything. Straight answers.

Tap a question to send it. We'll text you back.
Do I need new software or a new phone number?

No. We build around the phone, email and tools you already have. Your customers just notice you replying faster.

Will two students vanish in six months?

Everything we build is yours, on tools that aren't going anywhere, with plain-English notes anyone could pick up. You're never stuck with us.

What if it breaks?

You ring one of us. Not a ticket queue, not a call centre. And there's always one switch to turn it off.

Do you actually have the experience?

Fair question. Sarah designs and builds the automations and has seen how Amazon Web Services and Network Rail run their processes. Cyril is a trained developer who builds the backend for a living. And you see it working on your own business before you pay a penny.

What happens after the free bit?

We agree a fixed price before we start, so there are no surprises. If you'd rather not carry on, we switch it off and you keep what we've built. No awkward phone calls.

What if it doesn't work for my business?

It won't get that far. We only take you on if we're confident it'll work, because we need proof our systems work too. If we can't sort it, we'll say so on the first chat.

Is there a catch?

No retainer, no lock-in, no small print. A fixed price you agree before anything starts.

An honest offer

Right now, we need you more than you need us.

We know how this looks: two students, a new name, no logos on the wall yet. So we'll earn it. The first two businesses in each area who get in touch, while we've room, get set up free to start, plus a free website refresh if theirs could do with one.

Why free? Because we need proof it works, and you need proof we're worth paying. Fair's fair.

Why you? If we reach out, or we're sat across from you, it's because we already know we can help. Time is money and money is time, ours included, and we won't spend either on a business we can't genuinely help. So if we're talking, we're confident.

Sarah & Cyril

Coffee o'clock

Why are you rushing round the second the clock hits 8:30 when you could be sipping a coffee?

Every business has one job quietly costing it a fortune. Yours isn't the same as the firm down the road, so we don't sell you a package. We find your bit and make it run on its own.

Or tap the cup. Something's on the house.
